Rates are in CAD, unless specified otherwise.  They include round trip flights, transfers from airport to resort and back and 7-night all-inclusive accommodations at Ocean Coral & Turquesa. Room & Flight upgrades can be provided upon request. Other departure cities & trip duration options can be provided upon request – rates would be based on the group rate of the day at time of request.

IMPORTANT: VALID CANADIAN PASSPORTS ARE REQUIRED AND MUST BE VALID FOR THE ENTIRE DURATION OF YOUR TRIP. PASSPORTS MUST BE IN EXCELLENT CONDITION.

Passport Canada recommends that you apply for a new passport if your current passport is damaged, destroyed, or inaccessible. Travelers whose passport is damaged in any way could face significant delays or be denied entry at border crossings or be denied boarding of your flights.

TERMS & CONDITIONS

Please note – due to the various parties associated with these packages, the cancellation/change rules from either Tour Operator (Air Canada Vacations), Agency (LATravel Group Inc) or Hotel (Ocean Coral & Turquesa) which are most strict will apply.

Payment:

Full payment on your group booking is due February 12, 2025; changes/cancellations made between time of booking and date of departure will be subject to the applicable penalties by the tour operator (see below for further details).  Group bookings not paid in full by this date may be canceled and subject to applicable penalties. The below terms and conditions have been slightly amended to match with the terms and conditions of Ocean Coral & Turquesa which supersedes the Air Canada Vacations terms and conditions.  Please ensure you are aware of the below change/cancel policy.

Cancellation:

Cancellations received:

• Booking date to March 6, 2025: loss of deposit. An additional $50.00 per person LAT administration fee will be charged.
• March 7, 2025-March 22, 2025; 50% penalty of total price per person including any fees & surcharges. An additional $50.00 per person LAT administration fee will be charged.
• March 23, 2025, to the date of departure: 100% penalty of total price per person including any fees & surcharges. An additional $50.00 per person LAT administration fee will be charged.

*Occupants cancelling from a room with be subject to cancellation fees.  Contract pricing will apply for remaining occupancy based on the new room occupancy.

*No-shows and early departures from destination are NON-REFUNDABLE

*All cancellations and changes must be made directly with your lead agent and will be processed once all parties included on the file are aware of the cancellation terms and any applicable fees and rate changes incurred.

Booking Modification

Name Change

• Time of booking until March 6, 2025: Penalty Free unless Air Canada or the resort has requested a final rooming list.
• March 7, 2025-March 22, 2025: $150.00 per name**
• March 23, 2025: 21 days or less to departure, full cancellation penalties apply.

Date Change

• Time of booking until March 6, 2025: Loss of Deposit** An additional $50.00 per person LAT administration fee will be charged.
• March 7, 2025-March 22, 2025: 50% penalty of total price per person including any fees & surcharges. An additional $50.00 per person LAT administration fee will be charged.
• March 23, 2025, to the date of departure: 100% penalty of total price per person including any fees & surcharges. An additional $50.00 per person LAT administration fee will be charged.

Hotel & Destination Change

• Time of booking until departure – Treated as a cancellation**

Other Change

• Time of booking until March 6, 2025: Penalty Free unless Air Canada or the resort has requested a final rooming list.
• March 7, 2025-March 22, 2025: $150.00 per name**
• March 23, 2025: 21 days or less to departure, full cancellation penalties apply.

Name corrections:

• Before tickets are issued: Penalty – Free
• After Tickets are issued: $150.00 penalty per name correction.

In addition to the applicable change fees, the following conditions also apply to any change:

• If a change is made to room occupancy and results in a higher rate, the remaining travelers are responsible for the rate applicable for the revised occupancy.
• Change requests must be made through Air Canada Vacations and cannot be made directly with any hotel or resort. Name change and date change requests may be denied due to hotel-or airline-specific terms and conditions.

** Cancellation fees are liquidated damages to compensate Air Canada Vacations for prepayments made on advance booking of travel services, and for administrative costs involved in processing a cancellation. Total price due and/or paid to Air Canada Vacations.

IMPORTANT NOTES:

• Special Requests: Room requests such as but not limited to bedding request, specific location, connecting rooms cannot be guaranteed.
• Occupancy changes: 90-0 days prior to departure – Any changes in room occupancies will be on request and may NOT be permitted. For example:  rooms will be charged as double occupancy, as originally contracted, even if only one (1) adult is occupying the room.
• Changes are not permitted after departure. If any change is absolutely necessary after departure, request must be directed to Air Canada Vacations destination representative for assistance.  Additional fees will apply.
• Any guests not paid at final payment due date may be canceled and any applicable late & cancellation fees will apply. Unreconciled files may hold up travel documents (For group files – the group leader (i.e., bride & groom) must be aware that if any files have any balances the group travel documents will not be issued)
• Group Seating and Check-in – Seats for any group may be altered at any time prior to departure at the airline’s discretion. Although seats are blocked in bulk and seat numbers are assigned, final assignment is subject to change up until the date of departure during airport check-in.  Seat selection becomes free of charge 24 hours to 60 minutes before scheduled departure when using web, mobile or kiosk check in.  Group guests can use the self-serve web, mobile or kiosks (select airports only) for check in.
• Schedule Changes – Air Canada Vacations reserves the right for any aircraft or schedule changes any time prior to departure. These changes include day of service, direct flights, and full cancellation of flights at any time between now and departure date.
