IMPORTANT: VALID CANADIAN PASSPORTS ARE REQUIRED AND MUST BE VALID FOR THE ENTIRE DURATION OF YOUR TRIP. PASSPORTS MUST BE IN EXCELLENT CONDITION.

Passport Canada recommends that you apply for a new passport if your current passport is damaged, destroyed, or inaccessible. Travelers whose passport is damaged in any way could face significant delays or be denied entry at border crossings or be denied boarding of your flights.

SUNWING INSURANCE:

Manulife Global Travel Insurance + Worry Free for Sunwing can be purchased for a maximum of 10 passengers per group.  (Group cannot split files). Must be purchased at the time of booking. Medical insurance is now mandatory for all travellers entering Cuba.

TERMS & CONDITIONS

Please note – due to the various parties associated with these packages, the cancellation/change rules from either Tour Operator (Sunwing Vacations), Agency (LATravel Group Inc) or Hotel (Planet Hollywood Cancun) which are most strict will apply.

Payment:

Full payment on your group booking is due SEPTEMBER 3, 2025; changes/cancellations made between time of booking and date of departure will be subject to the applicable penalties by the tour operator (see below for further details).  Group bookings not paid in full by this date may be canceled and subject to applicable penalties. The below terms and conditions have been slightly amended to match with the terms and conditions of Planet Hollywood Cancun which supersedes the Sunwing Vacations terms and conditions.  Please ensure you are aware of the below change/cancel policy.

Cancellation:

Cancellations received:

• Booking date to September 18,2025: loss of deposit. An additional $50.00 per person LAT administration fee will be charged.
• September 19, 2025-October 27, 2025; 50% penalty of total price per person including any fees & surcharges. An additional $50.00 per person LAT administration fee will be charged.
• October 28, 2025, to the date of departure: 100% penalty of total price per person including any fees & surcharges. An additional $50.00 per person LAT administration fee will be charged.

*Occupants cancelling from a room with be subject to cancellation fees.  Contract pricing will apply for remaining occupancy based on the new room occupancy.

*No-shows and early departures from destination are NON-REFUNDABLE

*All cancellations and changes must be made directly with your lead agent and will be processed once all parties included on the file are aware of the cancellation terms and any applicable fees and rate changes incurred.

Booking Modification*

Updated group pricing, taxes, fees, surcharges and promotions will apply to changes of room category, room occupancy, hotel, gateway, and departure date. No refunds if the new price is lower. In addition, modification fees may apply as

follows:

• Time of booking until August 19, 2025: Penalty Free – no change fees
• August 20, 2025 – September 18, 2025: $250.00 per change per person
• September 19, 2025 – October 27, 2025: $500.00 per change per person
• Less than 21 days before travel commences and thereafter, a change to travel date, departure or arrival airport, or hotel is considered a cancellation and full cancellation fees apply.

*Applies to individual modifications within a confirmed group itinerary

Name Change (A first or last name adjustment involving 3 or more characters)

• Time of booking until August 19, 2025: Penalty Free unless Sunwing or the resort has requested a final rooming list.
• August 20, 2025 – September 18, 2025: $250.00 per name
• September 19, 2025 – October 27, 2025: $350.00 per name
• October 28, 2025: 21 days or less to departure, full cancellation penalties apply.

Changing all names on a file constitutes a cancellation.  If you wanted to transfer to another person you will need to have the Worry Free Plus coverage otherwise applicable cancellation fees will apply and rebooking rates would apply if applicable.

Name corrections (a first or last name correction involving less than 3 characters) may be processed by the lead agent outside of 8 days prior to departure.

Correcting a name includes:

• A first or last name correction involving less than 3 characters.
• A legal name change
• A married name change
• A missing name detail such as middle name

Corrections will incur a fee if made at the airport or if the Sunwing Group Travel Team is requested to make the correction.

IMPORTANT NOTES:

No changes are permitted within 7 days prior to departure.

• Occupancy changes: 90-0 days prior to departure – Any changes in room occupancies will be on request and may NOT be permitted. For example:  rooms will be charged as double occupancy, as originally contracted, even if only one (1) adult is occupying the room.
• Changes are not permitted after departure. If any change is absolutely necessary after departure, request must be directed to Sunwing Vacations destination representative for assistance.  Additional fees will apply.
• Any guests not paid at final payment due date may be canceled and any applicable late & cancellation fees will apply. Unreconciled files may hold up travel documents (For group files – the group leader (i.e., bride & groom) must be aware that if any files have any balances the group travel documents will not be issued)
• Group Seating and Check-in – Seats for any group may be altered at any time prior to departure at the airline’s discretion. Although seats are blocked in bulk and seat numbers are assigned, final assignment is subject to change up until the date of departure during airport check-in.  Seat selection becomes free of charge 24 hours to 60 minutes before scheduled departure when using web, mobile or kiosk check in.  Group guests can use the self-serve web, mobile or kiosks (select airports only) for check in.
• Schedule Changes – Sunwing Airlines reserves the right for any aircraft or schedule changes any time prior to departure. These changes include day of service, direct flights, and full cancellation of flights at any time between now and departure date.
